As a Real Estate Program Manager, you will lead the planning, execution, and financial governance of multiple commercial office projects across the EMEA region. You will ensure alignment with business objectives, budget accuracy, and sustainability commitments. Acting as the central coordinator between project teams, senior leadership, and key stakeholders, you will drive the optimization of capital investments and overall operational efficiency. You will manage budgeting, cost estimation, and long‑term planning while overseeing financial performance. Your role will ensure projects are delivered on time, within budget, and in full compliance with quality standards—maximizing value and efficiency across all capital investments.

This role is based in Ljubljana, Slovenia or Madrid/Barcelona, Spain, or Prague, Czech Republic. Novartis is unable to offer relocation support for this role: please only apply if this location(s) are accessible for you.

Kot Koordinator investicij za EMEA regijo boste vodili načrtovanje, izvedbo in finančno upravljanje več komercialnih projektov vezanih na pisarne v regiji EMEA. Zagotavljali boste skladnost s poslovnimi cilji, natančnost proračuna ter zavezanost trajnostnim standardom. Kot osrednji koordinator med projektnimi ekipami, višjim vodstvom in ključnimi deležniki boste spodbujali optimizacijo kapitalskih naložb in povečanje operativne učinkovitosti.
Upravljali boste proračun, ocene stroškov in dolgoročno načrtovanje ter nadzirali finančno uspešnost projektov. Vaša naloga bo zagotoviti, da so projekti izvedeni pravočasno, v okviru proračuna in v skladu s kakovostnimi standardi, s čimer boste povečali učinkovitost in vrednost vseh kapitalskih naložb.

About the Role

Key Responsibilities:

  • Develop and maintain a structured roadmap for commercial offices projects, ensuring alignment with strategic objectives.
  • Oversee capital and operational expenditure (CAPEX/OPEX) planning, ensuring cost accuracy and financial viability. Standardize cost estimations and budgeting methodologies across projects and geographies.
  • Provide financial analyses, including cost-to-value assessments and return on investment (ROI) evaluations.
  • Monitor project performance, identifying deviations and implementing corrective actions.
  • Manage a portfolio of commercial offices projects, ensuring timely delivery, budget adherence, and quality compliance.
  • Act as the primary liaison for project updates, consolidating progress reports and communicating with leadership. Incorporate external resources at due time for project execution.
  • Coordinate cross-functional teams, including internal resources, external consultants, and suppliers.
  • Develop and maintain detailed project plans, tracking milestones, risks, and dependencies. Facilitate regular meetings with project teams and steering committees, ensuring transparency and collaboration.
  • Identify and mitigate financial, operational, and project-related risks. Ensure compliance with industry standards, internal governance, and regulatory requirements. Integrate sustainability initiatives into capital planning and commercial offices development.
  • Oversee project safety, environmental compliance, and quality assurance. Develop and implement tools, templates, and best practices for budgeting and project management.
  • Support transition and change management initiatives for new facilities or systems. Drive efficiency improvements and cost savings through supplier optimization and process enhancements.

Essential Requirements:

  • Minimum of 8 years of experience in project management and financial planning, or related roles within commercial offices, construction, or the pharmaceutical industry.
  • Proven experience managing large-scale capital projects and multi-project portfolios.
  • Knowledge of project management and construction techniques.
  • Experience in designing fit-out offices.
  • Deep financial expertise in CAPEX/OPEX budgeting, forecasting, and cost control.
  • Proficiency in project management methodologies and tools (e.g., MS Project, Primavera, Agile, Waterfall).
  • Advanced skills in data analysis, reporting, and financial software (Teams, Excel, Power Query, and Power BI.)
  • Strong and effective written and verbal communications (English).

Desirable Requirements:

  • Knowledge of sustainability principles and their integration into capital planning.
  • Excellent stakeholder management and cross-functional coordination abilities.

Vaše ključne odgovornosti:

  • Razvijanje in vzdrževanje strukturiranega načrta za projekte komercialnih pisarn, kar zagotavlja usklajenost s strateškimi cilji.
  • Nadzor nad načrtovanjem kapitalskih in operativnih izdatkov (CAPEX/OPEX) ter zagotavljanje natančnosti stroškov in finančno vzdržnost. Standardiziranje ocenjevanja stroškov in metodologije proračuna po projektih in geografskih območjih.
  • Priprava finančnih analiz, vključno z oceno razmerja med stroški in vrednostjo ter vrednotenjem donosnosti naložb (ROI).
  • Spremljanje uspešnost projekta, odkrivanje odstopanj in izvajanje popravnih ukrepov.
  • Upravljanje portfelja projektov poslovnih pisarn ter zagotavljanje pravočasne izvedbe, spoštovanje proračuna in skladnost s kakovostnimi standardi.
  • Delovanje kot glavna vez za posodobitve projekta, združevanje poročil o napredku in komunikacijo z vodstvom. Vključevanje zunanjih virov ob primernem času za izvedbo projekta.
  • Usklajevanje dela medfunkcijskih ekip, vključno z notranjimi viri, zunanjimi svetovalci ter dobavitelji.
  • Priprava in vzdrževanje podrobnih projektnih načrtov ter spremljanje mejnikov, tveganj. Vodenje rednih sestankov s projektnimi ekipami in usmerjevalnimi odbori ter zagotavljanje preglednosti in sodelovanja.
  • Prepoznavanje in upravljanje s finančnimi, operativnimi in projektnimi tveganji. Zagotavljanje skladnosti z industrijskimi standardi, internim upravljanjem ter regulativnimi zahtevami. Vključevanje trajnostnih pobud v kapitalsko načrtovanje in razvoj poslovnih prostorov.
  • Nadziranje varnosti projekta, skladnosti z okoljskimi predpisi in zagotavljanje kakovosti. Razvijanje in uvajanje orodij, predlog in najboljših praks za proračun in vodenje projektov.
  • Podpora prehodu in upravljanje sprememb za nove objekte ali sisteme. Spodbujanje izboljšanja učinkovitosti in varčevanje s stroški preko optimizacije dobaviteljev in izboljšanj procesov.

Vaš doprinos k delovnem mestu:

  • Minimalno 8 let izkušenj na področju vodenja projektov in finančnega načrtovanja ali sorodnih vlog v komercialnih pisarnah, gradbeništvu ali farmacevtski industriji.
  • Dokazane izkušnje pri vodenju velikih kapitalskih projektov in večprojektnih portfeljev.
  • Poznavanje tehnik upravljanja projektov in gradbeništva.
  • Izkušnje pri načrtovanju pisarn z notranjo ureditvijo.
  • Poglobljeno finančno znanje s področja CAPEX/OPEX proračunskega načrtovanja, napovedovanja in nadzora stroškov.
  • Znanje metod in orodij za vodenje projektov (npr. MS Project, Primavera, Agile, Waterfall).
  • Napredne veščine analize podatkov, poročanja in uporabe finančne programske opreme (Teams, Excel, Power Query in Power BI).
  • Tekoče znanje v pisni in verbalni komunikaciji v angleščini.

Zaželene izkušnje:

  • Poznavanje načel trajnosti in njihovega vključevanja v načrtovanje kapitala.
  • Odlične sposobnosti upravljanja deležnikov in čezfunkcijskega usklajevanja.
