Step into a role where your operational ownership and administrative expertise directly support business continuity and site performance. As a Business Support Coordinator, you will play a key role in ensuring seamless delivery of essential services by managing administrative processes, coordinating service vendors, and supporting both local operations and strategic planning. Your ability to act independently, solve complex problems, and maintain strong stakeholder relationships will be central to enabling a safe, effective, and customer‑focused environment.

About the Role

Key Responsibilities

  • Provide comprehensive administrative support by independently handling complex organizational and operational tasks.
  • Participate in strategic planning processes and support implementation of operational improvements.
  • Inform, advise, and support internal and external stakeholders on department‑specific processes, guidelines, and services.
  • Adapt support and solutions to meet customer-specific needs while ensuring consistent service quality.
  • Initiate new processes or improvements and coordinate the introduction of updated operational procedures.
  • Lead and coordinate administrative projects, including design, planning, execution, and communication.
  • Mentor temporary employees or apprentices as needed and support project coordination activities.
  • Proactively engage with on-site stakeholders to ensure service expectations are fulfilled.
  • Manage service vendors to maintain timely, accurate, and high-quality service delivery.
  • Demonstrate ownership and flexibility in daily operational oversight.
  • Report technical complaints, adverse events, or special cases related to Novartis products within 24 hours of receipt.
  • Support the distribution of marketing samples where applicable.

Role Requirements

  • Experience managing crises or operating in high-pressure environments.
  • Ability to collaborate across cultures and organizational boundaries.
  • Strong decision-making skills and ability to manage resources effectively.
  • Creativity, initiative, and willingness to challenge the status quo.
  • Assertiveness and confidence in managing conflicts and influencing stakeholders.
  • Ability to structure operational transactions and prioritize within a broad service landscape.
  • Strong analytical skills, particularly in understanding and translating stakeholder needs.
  • Fluency in Polish and English (spoken and written).

Expected Annual Base Salary Range for role:

· Poland: PLN 77,100 – 143,300

The salary offered is determined based on gender-neutral objectives, such as relevant skills, competencies and experience in accordance with the Novartis pay setting policy and upon joining Novartis will be reviewed periodically.
