Contract Administrator with German, Novartis, Prague, Czech Republic

4,500! That's how many clinical contracts we draw up for medicine per year. As Contract Administrator, you will be responsible for coordinating, drafting, negotiating and finalizing HCP and
cooperation contracts and controlling, tracking and processing incoming HCP invoices and credit notes. In addition, further tasks in the area of Legal & Compliance maybe delegated.

Your key responsibilities:

Your responsibilities include, but are not limited to:

• Contact person for assigned contract types cross divisional, responsible for contract creation, contract finalization and contract extension based on approved templates or a contract creation tool
• Coordination and timely preparation of contracts and ensuring timelines and quality; Accounting management for all contract-related correspondence and documentation; Tracking/oversight of contract status including shipping and returns
• Important business support function and contact person for the specialist departments for contract related problem solutions/ contract adjustments/ changes and independent adaptation, if necessary, coordination with Team Lead HCP Contracting and Legal
• Communicating contract-related information to all stakeholders through regular training sessions; Monitoring and finalizing contracts, archiving and documentation
• Actively training and sensitizing the business and stakeholders on processes, systems and contract preparation
• Supporting the manager in oversight and control of the training activities of CRO employees; addressing improvement opportunities to managers
• Control, tracking, processing and approval (via AP4SAP) of incoming HCP invoices for internal workflow; Monitoring of the workflow in the AP4SAP dashboard
• Support with all contract-relevant administrative tasks, project design. Documentation and improvement; Contact person for customers and stakeholders for all assigned contract types; Acceptance of contract orders via e-mail and telephone hotline

Minimum Requirements

What you’ll bring to the role:

• Completed commercial, medical or legal professional education or comparable qualification
• At least 2 years of experience in progressive responsibility with measurable results in contract negotiation and/ or administration
• German Language skills of Europe classification C2 and very good English skills (international contract parties) in speaking and writing
• Strong experience, expertise and knowledge of the German compliance and legal environment with regard to contracts and contract negotiations is mandatory
• Ability to formulate contract passages independently in German in a legally correct manner
• Detailed knowledge and proficient use of Microsoft Office software including MS Excel and MS Word, as well as MS Power Point, Access, Project and Viso
• Knowledge of SAP, Linx and SharePoint-based databases
