Job Purpose
The incumbent provides senior-level administrative support to the Global Head of Leadership Development CoE (Center of Expertise, part of the Talent & Transformation function in P&O) in Cambridge, MA. This role includes interacting with all levels of management both within P&O as well as across all Novartis business units.
The successful candidate must represent the department in a self-directed and mature manner with tact, discretion, and strong judgment. This role will handle a variety of sensitive and confidential matters. They also must manage concurrent assignments with competing priorities in an intermittently fast-paced environment, including:

• Coordinating all administrative support for the Global Head of LD as well as elements of support across the LD CoE; supporting other senior members of Talent & Transformation CoE when in Cambridge for meetings/events
• Managing the Global Head’s of LD’s calendar, including preparing, organizing, and collating documents and other background information in advance of meetings;
• Coordinating and scheduling domestic and international travel for the Global Head of LD
• Preparing and submitting expense reports and monitoring approval flows relating to travel and other expenses of the Global Head of LD
• Calendar, meeting scheduling, travel and expense support on an as needed basis to other US based senior members of Talent & Transformation CoE (i.e. R&D Head of Talent)
• Management of LD CoE team meetings and attending meetings, including taking meeting minutes, distributing them in a timely manner, and keeping action items updated;
• Management of SharePoint and Teams sites;
• Collaboration with Talent & Transformation Administrative team; and other Exec and Administrative teams across Novartis
• Support of Global LD email-boxes, support communications on behalf of Global Head of LD
• Event management of Leadership Development offsites

Minimum Requirements

Education
• Associate’s or Bachelor’s degree required or equivalent experience

Work Experience
• Digital & Technology Savvy; Proficiency with Word, Outlook, Excel, PowerPoint, and SharePoint, and a general facility for information technology and for learning new software. Experience with internal tools like Req to Pay, Concur etc. Excellent administrative skills including thorough knowledge of standard office procedures and protocols
• Operational Excellence; Strong organizational and time-management skills, with an attention to detail
• Managing Change; Ability to handle the stress involved in managing complicated schedules in a complex environment with frequently required changes and adjustments, including the ability to prioritize and handle multiple tasks in a timely fashion
• Organizational Savvy; Self-motivated and resourceful personality that searches for ways to anticipate needs and to conceive of alternatives and potential solutions to occasionally difficult and sometimes changing scheduling, interpersonal, and travel needs
• Ability to discretely handle and not to compromise confidential and sensitive information

Languages
• Fluency in English required, with strong interpersonal and communication skills including a sound command of verbal and written English, particularly an ability to write and to proofread email messages and other documents for grammar, spelling, and stylistic mistakes

This is an Cambridge, MA based role. Consideration may be given for distance working arrangements (There may be exceptions based on US Legal Entity registration).
