Job Description

As an Operations Executive, you will play the key role in coordinating and managing all BU events and activities from start to finish; and manage BU day-to-day operations including supporting administrative tasks in shared service approach among BU Head, Marketing and FF Team to ensure excellent execution and business growth.

Your Responsibilities:
Your responsibilities include, but not limited to:

Event Lead
• Coordinate projects/events and implement based on the strategy and plans of BU; Collaboration in cross-functional events to ensure all deliverables are met by deadline.
• Communicate and maintain timeline and priorities on projects and events; Contact point for external stakeholders’ project-related queries and concerns.
BU Operation
• Manage internal workshops and department meetings; Attend meetings and produce material, take meeting notes accurately; Arrange logistics for business trip of BU Head, Marketing and FF Team
• Prepare and process expense/cash advance for vendors; Prepare statistical reports, management reports, material, consolidate presentation slides, contact lists, correspondences and BU organization charts.
• Translate letters, proposal, presentation, documents from English into Vietnamese and vice versa
• Coordinate with other functions for team achievement; Other tasks assigned by BU Head

Budget management
• Work closely with Finance to track all BU activities, vendors’ expenses; Maintain department budget; Manage supplier’s service procurement processes; Manage HCP’s expenses; Ensure all BU activities in year to be organized in best efficiency with allocated budget.

Compliance
• Adhere to company Code of Ethics; Ensure all project documents in compliance with regulations and internal processes based on SOPs; Perform quarterly promotional report.

Minimum Requirements

What you’ll bring to the role:
• Education: University graduated
• Languages: Fluent in Vietnamese and English
• At least 3 years of experience at admin position
• Deep understanding of compliance, processes and regulations
• Excellent computer skills in Advanced MS Word, Excel, Power Point and System.
• Excellent written and verbal communication skills, as well as strong organizational and planning skills.
