The Chemical Biology and Therapeutics (CBT) department at the Novartis Institutes for Biomedical Research (NIBR), merges ground breaking technical capabilities with deep scientific expertise to deliver bold innovations at the forefront of science. As a member of the CBT Operations Team, you will be a critical resource within the organization to support lab operations and enable the development of novel drug targets and new therapeutics.

We are seeking a hands-on, Operations Sr. Specialist to help support the dynamic business operations of a large research department. The successful candidate must be a collaborative teammate who is motivated, organized, self-directed, and capable of handling a variety of tasks in a global and highly matrixed environment. A candidate willing to infuse creativity into operational tasks is strongly desired.

Your Responsibilities Will Include:

- Proactively lead projects and design key operational programs, especially with cross-functional groups of users and support functions.

- Lead the coordination of department-level event planning, including decision board meetings, onsite scientific symposia and multi-day strategic offsites.

- Contribute to – with content generation – and initiate departmental communications and culture initiatives, using intra-departmental communication platforms, intranet, in-person and virtual events.

- Establish and maintain relationships with CBT researchers and leadership to support departmental objectives and resolve their operational challenges, especially with issue management. Support the execution of our budget with focus on creating and managing purchase orders and vendor invoices for operational expenses.

- Provide a key interface between CBT associates and supporting NIBR functions, especially with key collaborators in onsite services, Talent Acquisition Services, Human Resources, and Finance.

Minimum Requirements

What You'll Bring to the Role:

- B.S. or M.S. degree in a scientific, business or communications discipline with 3+ years in a lab/business operations capacity or 5+ years working in a biology or chemistry research environment. A strong motivation to support laboratory research preferred. Candidates with focused business operations experience will be at a decided advantage.

- Project management and Design Thinking skillset with experience initiating and leading assignments

- Strong information management and digital skillset that includes advanced knowledge of SharePoint, MS Teams, Onenote, Excel macros, and related systems. A digital communications skillset and interest preferred e.g. story-boarding, video making, etc.

- A user-oriented mentality and experience supporting others – specifically motivated to enable all of our associates with a track record of building relationships and engaging others in work.

- Strong organizational skills, attention to detail, along with excellent verbal and written communication skills, creative problem-solving capabilities, and willingness to work in a team environment are important. Ability to exercise independent discretion and judgment to solve problems is required, as well as to prioritize effectively in a fast-paced and dynamic environment.
