Job Purpose
We are searching for an enthusiastic administrative assistant who is interested in joining a dynamic, close-working team to support the department of Global Discovery Chemistry (GDC).

The successful candidate will work effectively in a flexible team environment, build operational relationships both in and outside the group, and have a desire to learn a complex global organization. Follow through on a wide range of tasks with minimal supervision, prioritizing responsibilities and communicating timelines while also acting as the point person for ad-hoc requests across all areas of responsibility. The candidate will interact will all levels of management throughout the organization with tact, diplomacy, and discretion.

Major Accountabilities
Responsibilities will include (but are not limited to):

• Coordinating Domestic and International meetings and travel.
• Preparing meeting materials/arrangements.
• Managing systems and databases; completing data analysis.
• Coordinating presentations.
• Maintaining daily calendars and other schedules as necessary.
• Receiving visitors and telephone calls and answering routine questions related to the department.

Minimum Requirements

Education
• BA Degree or equivalent University qualification required.

Work Experience
• Minimum 4+ years’ relevant experience required having worked in an administrative role across similar industries such as Pharmaceutical, Healthcare, University sectors etc.
• The role requires a passion for an administrative role, whilst also providing the opportunity for growth and development working as part of a team on special projects, event coordination, and operational tasks. Candidates must possess an ever-positive attitude, cooperative nature, and desire to learn and innovate.
• Excellent organizational skills, precise attention to detail, with strong analytical and organizational skills required.
• Knowledge of Microsoft Word, PowerPoint, Excel, and Outlook required.
• Must be resourceful, take initiative, and be flexible in balancing competing priorities in a matrix environment.

Languages
• Fluency in English required with excellent oral and written communication, interpersonal and presentation skills. Ability to liaise and support senior stakeholders within the organization.
