We’re looking for an independent, motivated and highly professional Executive Assistant, to provide high quality administrative support to the Head of Sandoz International Region. This position supports the Head of Sandoz International region and handles all office administration in a truly international and dynamic environment.

We are looking for an associate like you, who is an independent, motivated team member, who provides quality administrative support to Head International Region and other leadership team members. You will perform all secretarial and administrative duties for a group of senior leaders and both internal and external associates. You will act as an information source on organizational policies and procedures. You may also gather, compile, and report information relevant to current assignments. Our future associate is an experienced high level administrative professional, who can navigate the complexity of an international environment with ease and deal with senior executives and regular associates with strong professionalism and high efficiency. Major accountabilities:

Provides administrative support to Head International Region, which can include:

- Scheduling/arranging meetings, managing complex calendars; Processing of purchase orders and receipt of invoices; processing expenses; Organizing and maintaining global travel arrangements; Owning, updating and maintaining distribution lists; Scheduling interviews and on boarding new hires in coordination with P&O; Registering, receiving and referring visitors; All facets of booking video and conference rooms globally.
- Facilitates communication between Novartis and vendors by initiating conference calls/meetings.
- Handles confidential information and communications with all levels of management in a professional manner; Acts as liaison across departments and line functions to ensure proper communications/reporting practices.
- May be responsible for data tracking and managing logistics for large meetings in various global sites.
- Prepares routine and complex documents, and actively manages/organizes files.
- Handles mailings and distribution of materials for the team.
- Updates and makes revisions to documents and presentations.
- Provides backup coverage to other Administrative Assistants within the department and fully supports a team environment.

Minimum Requirements

- Tertiary qualifications with Diploma/ Degree with secretarial certificate desirable, accompanied with excellent knowledge of English (both written and oral)
- At least 3+ years in a similar role, or 5 years general administration experience
- Excellent administrative skills including thorough knowledge of standard office procedures and protocols
- Experienced in arranging global travel and processing expense reports.
- Must demonstrate ability to prioritize and handle multiple tasks in a timely fashion.
- Ability to exercise independent discretion/judgment
- Proficient with Microsoft Office programs including Word, Excel, PowerPoint, Outlook, MS Teams & One Note
- Strong communication skills (both written and verbal)
