Novartis is currently hiring an Executive Business Partner (EBP) who will be part of a “pool of support” that will serve as the point of contact for the whole regional LACan Pharma organization for everything related to the management of the workplace, projects of different nature and the administrative needs of the regional office.

The EBP will have the ability to work with different executives and tasks while being responsible for the delivery of administrative, technical, and planning activities that require the interaction and involvement with stakeholders and vendors in a local, regional or global context.

The EBP will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with minimal supervision ensuring an excellent customer experience for the regional LACan organization.

This role will be located at the LACan Regional Office in Miami, FL.

Your key responsibilities:
• Coordinates with stakeholders and third parties/vendors for the flawless execution of multiple projects and tasks
• Provides end to end support to executives on travel plans and expenses reports, visa and immigration assistance where needed; Maintains executive’s appointment calendars by planning and prioritizing meetings, conferences, teleconferences; Serves as the point of contact between the executives and internal or external colleagues as well as with regional stakeholders and global assistants’ groups
• Provides support to the entire LACan Pharma organization informing, advising and supporting the team and associates on general topics related to office processes, guidelines, services and general administration – builds capabilities to make them independent/ self-sufficient where possible
• Secures information and ensures that all the tasks assigned are completed according to the different compliance regulations and regional policies
• Ensures the continuity and smooth-running of the office working with internal and external clients and vendors (E.g. office cleaning, security, badges, etc.). Anticipates office needs and expedites purchase orders when necessary to ensure inventory of office supplies
• Assist in the execution of projects, involving all relevant internal stakeholders and ensuring technical feasibility
• Proactively supports the team to organize and coordinate special events for the office
• Supports the PEC team on the planning of their different meetings and special events ensuring the correct organization and tracking providing follow up on the executive’s absence. Can also take minutes of important meetings and follow up on actions when required
• Represents the executive and the LACan region in certain forums such as Health & Safety serving as the main points of contact for the entire regional office
• Supports the executive team to onboard new joiners making sure that all onboarding tasks and requirements are completed
• Provides executive support to the senior leaders producing reports or presentations, collecting data to analyze information, and planning on their virtual, onsite or offsite meetings

Minimum Requirements

What You’ll Bring to the role:

Essential:
• A minimum of a high school diploma
• 3+ years’ experience in executive assistance, project management or customer service
• Curious, disruptive and out of the box thinking
• Customer obsession; tenacity and problem solving
• Project management and event coordination
• Proficient in using all Microsoft Office software products, including email (Outlook), Word, Excel and Power Point.
• Project management experience
• Solid organizational skills including attention to detail and multitasking skills
• Excellent written and verbal communication skills; Detail oriented and organized
• Self-motivated, proactive, and forward-thinking; Diplomatic and tactful; Maintain a positive attitude and willingness to work with all office members at all levels of the organization

Desired:
• Bachelor’s degree preferred
• Experience working for multi-national pharmaceutical industry preferred
• Spanish as a second language preferred
