Medical Project Coordinator provides communication, administrative and logistics support for key Medical external and internal events.
The role works closely with Medical team on the Medical activity plans, supervises execution, including expense data, and reports to Medical Head.
Besides the administrative and logistics support, the role incumbent ensures internal and external communication with other departments, suppliers and other third parties involved in the activity.

This role helps the team to stay focused on external stakeholders by optimizing and fulfilling all internal and external administrative requirements related to medical events and activities.

Your key responsibilities:
Your responsibilities include, but are not limited to:
• Coordinating internal processes for accurate execution of Medical key projects, like vendor forms, internal approvals, contracts management, payment flows
• Performing the checks, submits information in P3, SAP, CLM, Ariba, SIM, and other internal systems, and ensures that all approvals and necessary documents are in place prior to project start
• Working closely with the Medical team on the coordination of the key event, including event planning, vendor management, location setting, on-site event support, closing, and payments

• Creating and sending regular Reports on event preparation and execution, and flags potential delays or challenges to the event owner and direct manager
• Filling in and/or initiating contracts and other documents for projects, as needed
• Ownership of the contracting process and has overall responsibility to complete the written agreement for the contracts decided by the direct manager
• Acting as a point of contact for external suppliers involved in key event management

Minimum Requirements

What you’ll bring to the role:
• University degree
• Proficient English
• At least 1 year of experience in a similar role
• Previous experience from the pharmaceutical company would be an advantage
