The Chemical Biology and Therapeutics (CBT) department at the Novartis Institutes for Biomedical Research (NIBR), merges ground breaking technical capabilities with deep scientific expertise to deliver bold innovations at the forefront of science.

As a member of the CBT Operations Team, you will be a critical contact within the organization to support lab operations, organizational matters and enable the development of novel drug targets and new therapeutics.

We are seeking a hands-on Operations Specialist to help support the dynamic operations of a large research department. The successful candidate must be motivated, organized, self-directed, and capable of handling a variety of tasks in a highly matrixed environment.

Your Responsibilities Will Include:

• Establish and maintain relationships with CBT and DAx researchers to ensure alignment and execution of departmental objectives, and resolve their operational challenges. This includes provision of information and assistance via communications, email, phone and in-person advisory and assistance.

• Contribute to and support departmental communications and culture initiatives. Including intra-departmental communication platforms (e.g. Teams, Yammer, SharePoint), intranet (e.g. SharePoint), in-person and virtual events, leadership calendar management.

• Support on- and off-boarding tasks within the Basel organization. This includes supporting starters/leavers and corresponding managers (in coordination with CTS, HR Services and P&O Partners), providing Welcome/Off-boarding information, updating databases (e.g. Persilog, SMT, I.AM., GMT...) and CBT and DAx HC list and OrgChart accordingly.

• Support Visiting Scientists collaborations by managing on/off-boarding activities, within the Basel organization, for external FAST Lab and other Visiting Scientists in coordination with the FAST Lab initiative lead and hiring manager/supervisor, CTS, HR Services and Compliance.

• Represent CBT and DAx and participate in the ACT (Admins & Coordinators Community) and/or NIBR Basel Lab Ops Coordinators meetings.

• Be an integral member of the Ops team, ensuring full compliance with Health Safety & Environment programs, Business Continuity, Sustainability initiatives and Compliance.

Minimum Requirements

What You'll Bring to the Role:

• University degree and/or several years of working in operations or research / drug discovery environment
• Excellent team player and strong organizational skills, attention to detail, along with very good verbal and written communication skills, creative problem-solving capabilities.
• Growing ability to exercise independently and prioritize effectively in a fast-paced and dynamic environment. Support culture in CBT, DAx and NIBR.
• Good knowledge of MS Office, with a strong expertise in Excel, Outlook and MS Teams. Aptitude for learning new software and tools.

Languages: English mandatory, knowledge of German and/or French of advantage

Based on binding Swiss work permit regulations, this position can only be offered to an applicant that already has an EU/EFTA or Swiss Passport, or a non-EU/EFTA national that already has an unrestricted Swiss Residence & Work Permit or family reunification ”B permit”.
