Job Description

Country Fleet Specialist will be responsible for Fleet category in cross country and cross divisional category in 4 countries (Southern Europe).

We aim to become carbon neutral in our operations by 2025. To achieve this 100% carbon-neutral ambition, we are making considerable operational changes in our global fleet services. This includes a phased switch from reliance on internal combustion engines to alternative powertrain vehicles, also known as electric vehicles (EV), and the move to a new fleet services provider in Europe, Fleet Logistics.
Procurement is responsible for managing the fleet sourcing side and operations.
We are now looking for candidates to support multiple European Countries with fleet management/supplier management activities within Fleet category. The position is responsible for transactional activities linked to fleet services provider that is leading the day-to-day activities (driver support, car ordering, fine management, fuel/electricity card management, invoice control, etc.)

Your key responsibilities:
•Understand and support the Green Fleet Category Strategy
•Execute transactional Fleet activities for multiple countries in line with category strategies, and in compliance with relevant policies and operating procedures, including preferred supplier agreements
•PO creation, GR management and supplier invoice validation in SAP/Ariba
•Generate country/division specific monthly reports
•Manage driver escalations or questions raised on the operational fleet. Driver escalation management (e.g.: when drivers are not satisfied about the fleet manager and want to escalate)
•Escalations & authorizations (budget, POs, invoices, policy, models, profiling, accidents, deliveries, etc.)
•Support definition of common leasing package throughout Novartis organization to ensure multi-bid effectiveness and sourcing alignment
•Review the Online Car Configurator and work with FMC to keep up to date
•Work with FMC on any re-allocation of Cars, either temporary or permanent within the fleet(s).
•Validate annual recalculation based on the Fleet service provider (FMC) input and aligned with Leasing Companies Agreements
•Early individual leasing contract terminations upon Business Request: analyze and approve the Business Case provided by FMC. Depends on the termination volume, Leasing Company negotiations may be required
•Local Fleet Policy maintenance: in alignment with the local team, annual update of the policy
•Establish relationships with Local Dealerships
•Support communication of Novartis Local Country Car Policy on reallocation and surplus Car utilization to Drivers in a clear and concise manner (Car location, damages, and documents missing) and to universally support decisions made within Novartis Local Country Car Policy by Supplier towards Drivers;
•Participate in regular business reviews with Fleet vendors
•Maintain strong information flows back to Fleet Management Company, local Procurement and P&O teams

Minimum Requirements

•1-3 years of experience in Fleet Operations
•Suitable candidates must possess bachelor’s degree in any relevant field.
•Fluent English, Spanish and Italian required. Knowledge of other European languages have an added advantage.
