The Associate Director of Convention Management & Association Relations is responsible for leading the Convention Management efforts for NBS across all Novartis businesses and/or di-visions. Utilizing an out-sourcing model, the Associate Director of Convention Management will ensure that all aspects of planning, creating, facilitating and executing of conventions, select consumer events and special events, such as campus engagement activities that feature brand and medical components are done with the highest quality and customer satisfaction. This includes partnering with the business in representing NBS in the US Convention/Medical Association arena. Accountable for ensuring the team of outsourced personnel who are highly specialized in the convention industry, meet agreed upon KPI’s to ensure success. Must be intimately involved with all aspects of show preparation both pre, during and post, including floor space coordination, fee negotiation, set up and tear down, food and AV service coordination and much more.

This position will demonstrate strong leadership of NBS Convention Management program throughout Novartis Divisions and Third Party Outsourced Convention Management vendor to ensure all tradeshow and related events are operated efficiently and effectively.

Manage relationship with Third Party Outsourced Convention Management vendor including developing measurements (KPI’s) that hold everyone accountable for deliverables and all financial matters including Purchase Orders, Task Orders, General Services Agreements and Service Level Agreements

Has a business-minded approach to running the Convention Management program including providing strategic guidance on overall Convention Management program as well as within each Novartis divisions and business units

Ensuring all processes within the Convention Management Program are streamlined and documented

Act as Congress Manager and/or support in the planning process when needed

Technology savvy – strong understanding of electronic technology for utilization in convention space

Ability to identify and initiate business develop opportunities for NBS with all Novartis divisions and business units

Develops or ensures training is accurate and documented

Leverage face to face interactions within the convention arena in order to consistently increase the awareness of Novartis and its products and services.

Key partner and accountable for customer engagement working closely with brands to develop strategic objectives with measurable results.. Build solid and trusted relationships with all levels of brand management to effectively strategize on convention program and influence decision making and approach to market presence at the best possible price.

Associate Director is recognized as subject matter expert and build solid relationships with the business regularly by interfacing, creating and driving policies and processes and continually monitors for upgrades/improvements. --

This position is responsible for ensuring that all convention activities be conducted in a compliant manner and that Novartis guidelines, federal and state law legislation and the promotional guidelines of the OPDP and individual medical societies be followed.

The Convention Management team works within multi-cross functional teams to support Marketing, and maintains strong partnerships with Ethics & Compliance, Legal, Medical, DRA, PR, Alliance Development, Global, the Field Sales organization, as well as outside organizations. Required to translate regulatory requirements to operational processes and drive compliance in every aspect. Coach and consult the business to operate within a parameters

Key relationship management represents US Novartis with medical associations with ability to leverage and negotiate agreements and status of Novartis positioning in the ranking bodies of the association. Leverage extensive knowledge of association structure and contacts.

Assist in supporting social events, campus events featuring Novartis and/or its products by leveraging convention management assets.

Operates with high integrity and demonstrates current regulatory knowledge with ability to make judgements in the interpretation of policy and guidelines, coaching and advising the business. Proactively translates business trends/patterns to encourage potential changes in policy and procedures as needed.

Bachelor's Degree required

Minimum 7+ years combined experience in pharmaceutical convention management.

Ability to work in a fast paced environment with multiple and changing priorities while maintaining a strong focus on execution and results

Ability to make routine “day to day” decision making capabilities. Employee must use best judgment and common sense when making decisions. .

Ability to work with sales, marketing and medical both pre and post event to align tradeshow objectives

Excellent written and verbal communication skills.

Strong organization and planning skills. Project Management experience.

Detail oriented with excellent follow up and time management skills

Proficient in MS Office Suite (Word, PowerPoint, Excel etc.)

CVENT and SAP knowledge preferred

40% travel with occasional nights and weekends

Strong Service acumen and customer focus

Extensive and strong knowledge of individual State & Federal Laws. PhRMA, OIG, knowledge a must.
